AGENT
Coordination and management of transaction paperwork from listing to close
Be a ‘second set of trained eyes’ on the file
Review fully executed contract and all documents for signatures, initials, dates, timelines and contractual agreements
Create transaction summary timeline and distribute to all parties
Send introductory emails to all parties - Buyer Agent, Transaction Coordinator (TC), Escrow, and Lender providing pertinent contact information, timelines and paperwork
Order Natural Hazards Report, if not already ordered
Track timelines and notify Agent of upcoming deadlines
Send Seller disclosures to Buyer's Agent by deadline
Make sure all required documents are fully executed and in the file
Facilitate and manage the flow of paperwork between Seller, Agents, TCs, and Escrow
Provide status updates throughout the transaction
Confirm closing with Escrow
Provide Client and Agent with digital copy of closed file at Close of Escrow
SELLER
Send Introduction email to Sellers with transaction timeline and contact information
Create disclosure package for sellers to complete
Order of Natural Hazards Report
Order HOA docs, if not ordered by Escrow
Be available to clients for support of online electronic signatures
Forward Earnest Money Deposit Receipt and Preliminary Report from Escrow
Send all documents for seller's signatures
Provide ‘Client Document File’ to Seller at COE
ESCROW
Open Escrow
Send accepted and fully executed contract with all counters & addenda
Confirm receipt of earnest money deposit
Confirm receipt of Preliminary Report
Confirm HOA docs are ordered and received
Update Escrow with any changes to contract, addenda & timelines
Confirm escrow has all required documentation for closing
Confirm order of Home Warranty Policy

BROKER
Upload fully executed Listing Agreement into brokerage portal
Upload fully executed Contract and documents
Submit file to Broker for audit / file review during transaction
Confirm Agent's file is complete with broker required documents and all required documentation is fully executed
Submit file for final review ensure document completion and compliance
Submit completed file documents with final closing statement
